Running an NDIS organisation in Western Australia means keeping billing, payroll, worker records and systems moving across different locations and an east coast time gap. Sahajilo provides an outsourced back office for providers, working remotely inside your existing software. We handle the administration behind service delivery, from claims and reconciliation to SCHADS rostering, compliance records and IT support.

A back office organised around Western Australia

Western Australia moved from its state-run disability scheme to the national NDIS later than the eastern states. Providers also work two to three hours behind the east coast. That makes clear handovers useful: an unresolved invoice, missing timesheet or approval request needs an owner and enough detail for the next person to act.

Location matters within WA too. Perth and Mandurah are classed MMM 1 under the Modified Monash Model. Bunbury is classed MMM 2, a regional centre. Those classifications should stay visible in your records when checking location-dependent pricing, rather than treating every service delivered outside Perth as remote.

Our location pages cover back-office support in Perth, support for Mandurah providers and support for Bunbury providers. Across Greater Perth, Peel and the South West, the working arrangement is remote. Your organisation's software holds the records, while agreed responsibilities make it clear who prepares work, who approves it and what needs a manager's decision.

Billing that connects delivered supports to received payments

A billing cycle needs to cover more than submitting claims. It also needs to show which payments arrived, which invoices remain outstanding and which rejected claims need correction. When your WA operation spans different locations or funding management arrangements, those checks belong in the regular workflow.

Sahajilo handles batch-checked NDIA-managed claims through the my NDIS provider portal, along with invoices for plan managers and self-managed participants. Support item numbers and price limits are checked line by line. Cancellation, no-show and non-face-to-face billing are checked before inclusion, so the billing record reflects the applicable requirements.

WA's regional and remote locations need careful distinction. Under the supplied 2026–27 pricing, in force from 24 September 2026, remote MMM 6 price limits are 40% above national limits and very remote MMM 7 limits are 50% above. A regional address alone does not establish either classification.

Payments are matched each cycle, rejected claims corrected and resubmitted, and overdue invoices followed up. Our Perth billing and claims page explains the service, including monthly summaries for leadership.

SCHADS payroll with the right WA holiday calendar

Payroll checks start with the roster and the hours actually worked. Before each pay run, timesheets need to be compared with roster records, with overtime, broken shifts, sleepovers and penalty rates reviewed together. Leave balances and Single Touch Payroll lodgement form part of the same process.

WA holiday dates need particular care when an organisation operates across regions. King's Birthday falls on 28 September 2026, but the City of Karratha and Town of Port Hedland observe 3 August 2026 instead. Labour Day falls on 1 March 2027. A single statewide calendar without the regional exception can send a pay run in the wrong direction.

The supplied SCHADS public holiday rates are 250% of the ordinary rate for full-time and part-time workers and 275% for casuals. Employment type, work location and the relevant holiday therefore need to be visible during payroll preparation.

Our SCHADS payroll, HR and rostering support also covers participant needs, worker availability, onboarding packs and induction records. The aim is a repeatable process that gives managers clear exceptions to review.

Keep worker screening and audit evidence connected

In WA, the NDIS Check is issued by the WA Screening Unit at the Department of Communities, with applications through DoTDirect. The supplied fees are $145 for paid workers, $80 with a concession card and $11 for volunteers. WA is the only state with a concession fee for the check.

A cleared NDIS Worker Screening Check lasts 5 years and is recognised by NDIS providers in every state and territory. For a worker joining your WA organisation from interstate, the administrative task is to keep clear screening evidence alongside their onboarding and training records. Our Western Australia worker screening guide covers the state-specific details.

Compliance support brings these records together with incident, complaints and risk registers, policy reviews and audit evidence packs. It includes gap analysis against the NDIS Practice Standards, registration renewal support and corrective action plans.

WA also has its own restrictive practices authorisation arrangements through Department of Communities Quality Assurance Panels. Keeping those records organised alongside relevant compliance evidence helps managers review what is current and what still needs attention.

IT support that follows staff from onboarding to departure

When workers and managers operate across Perth, Peel or the South West, access to the right systems needs to follow their role. Shared logins, missing accounts and disconnected rostering and accounts software create extra administration wherever staff are working.

IT support covers Microsoft 365 and Google Workspace setup and management, multi-factor sign-in, secure access to participant records, and backups and recovery for key systems. It also includes laptop and phone setup, help desk support, and rostering and care software setup and integration.

For example, a provider coordinating teams in Perth and Bunbury could prepare a new worker's induction records, roster access and device setup together. That gives the manager a clear view of what remains outstanding before the worker starts.

The same coordination matters when someone leaves: off-boarding includes removing access on their last day. Privacy-conscious handling of participant information belongs throughout this process. Keeping account access connected to staff changes gives your organisation a practical way to manage its systems as the roster changes.

Start with the work holding your managers up

You may need help with overdue reconciliation, payroll preparation, scattered audit evidence or staff access problems. Start by identifying the recurring task that keeps returning to a director or operations manager. Then define the records needed, the approval points and how unresolved items will be brought back to your team.

Sahajilo works in tools like Xero, MYOB, Careview, HCP, ShiftCare, AlayaCare and the my NDIS provider portal. Delivery happens remotely inside your existing software. During scoping, discuss your WA locations, the relevant regional holiday calendars and how handovers will work around AWST and east coast contacts.

Most providers are onboarded within 5 to 7 business days. The arrangement is month-to-month, with no lock-in contracts. A useful starting scope makes responsibilities clear across finance, workforce administration, compliance and IT, including which decisions stay with your managers.
