Running an NDIS provider in New South Wales means keeping billing, payroll, workforce records and compliance moving alongside daily service delivery. Sahajilo provides an outsourced back office for provider organisations, working remotely inside your existing software. From Greater Sydney to the Riverina and the NSW–Victoria border, we handle agreed administrative work so your managers have fewer loose ends to chase.

A back office that fits your part of NSW

New South Wales has the largest number of NDIS participants of any state. Its providers range from sole traders in regional areas to large supported independent living operators across Greater Sydney. The administrative workload varies with that footprint: keeping records consistent across metropolitan services is a different task from coordinating workers and paperwork across regional locations.

Sydney, Parramatta, Penrith, Newcastle, the Central Coast and Wollongong are classed MMM 1 under the Modified Monash Model. Coffs Harbour, Port Macquarie, Tamworth, Dubbo, Orange and Wagga Wagga are classed MMM 3. Albury, on the NSW–Victoria border, is classed MMM 2. These distinctions matter when checking location-related billing assumptions; a regional address alone does not establish remote pricing eligibility.

Our Sydney back-office support and support for providers in Dubbo use the same remote delivery approach. Work happens inside your organisation’s systems, with the scope agreed around the tasks your managers need handled.

Keep delivered supports connected to billing and payments

A provider operating across Western Sydney and the Blue Mountains needs billing records that identify what was delivered, where it happened and how it should be invoiced. The same discipline matters across the Hunter, Illawarra and regional NSW. Missing details can leave claims waiting for rework and managers trying to reconstruct a service after the billing cycle has closed.

Billing support covers batch-checked NDIA-managed claims through the my NDIS provider portal, plus invoices for plan managers and self-managed participants. Each line needs the correct support item and applicable price limit. Cancellations, no-shows and non-face-to-face work need their own checks before they enter a claim or invoice.

Payments are matched to claims and invoices each cycle, rejected claims are corrected and resubmitted, and overdue accounts are followed up. Accounts receivable ageing and a monthly billing summary give leadership a clearer view of outstanding work and unpaid invoices. Our NDIS billing and claims service in Sydney explains the work covered, from preparing claims through to reconciliation.

Build NSW holiday checks into payroll and rostering

NSW payroll needs a clear connection between the roster, the timesheet and the pay run. A changed shift should not leave payroll working from an earlier roster or finance billing from a different record. We check timesheets against rosters before each pay run and handle SCHADS penalty rates, overtime, broken shifts and sleepovers within the agreed payroll scope.

Public holidays need attention before rosters are finalised. NSW dates include Labour Day on Monday 5 October 2026 and the King’s Birthday on Monday 14 June 2027. Use the NSW public holiday guide for SCHADS payroll when preparing roster and payroll checks. For an Albury–Wodonga operation, identify the relevant state for each shift instead of assuming a single holiday calendar covers both sides of the border.

Rostering support starts with participant needs and worker availability. HR administration covers onboarding packs, contracts, induction records and training expiry tracking. Payroll work also includes Single Touch Payroll lodgement and leave balances, keeping routine records connected to the pay cycle.

Keep screening records and audit evidence usable

In NSW, the NDIS Worker Check is issued by the Office of the Children’s Guardian, with applications through Service NSW. That office also runs the NSW Working With Children Check, but these are separate clearances. Workforce records should distinguish them clearly so a manager can see which clearance is recorded and what still needs follow-up.

A cleared NDIS Worker Screening Check lasts 5 years and is recognised by NDIS providers in every state and territory. That recognition is relevant to providers around Albury–Wodonga, where operations may span the border. Our guide to NDIS worker screening in NSW explains the state process. Screening and training expiry tracking form part of the administrative work we can handle.

Compliance support also covers gap analysis against the NDIS Practice Standards, evidence packs for certification and verification audits, and registration renewal or change-of-scope support. Between audits, the work includes maintaining incident, complaints and risk registers, reviewing policies on schedule and tracking corrective actions. Keeping these records current makes evidence easier to retrieve when it is needed.

Give dispersed teams reliable access to their systems

When managers, support workers and administrators work across different locations, access to the right records becomes part of everyday operations. A worker in the Mid North Coast and a manager in Greater Sydney need access appropriate to their roles. Shared logins, delayed account setup and access left open after someone leaves create administrative problems that need clear ownership.

IT support covers Microsoft 365 and Google Workspace setup and management, multi-factor sign-in, secure access to participant records, and backups and recovery for key systems. It also includes laptop and phone setup for new staff, help desk support, and off-boarding that removes access on the last day.

Rostering and care software setup and integration sit within the service too. The aim is to make the systems used for daily work easier to administer, with privacy-conscious handling of participant information. See the scope of IT support for NDIS providers in Sydney when deciding which systems and staff support tasks to include in your remote back-office arrangement.

Start with the workload your managers keep carrying

The useful starting point is the work that repeatedly falls back to an owner, director or operations manager. That might be rejected claims, payroll adjustments, missing induction records or audit evidence scattered across folders. Identify the recurring task, the system holding the information and the person currently responsible for approving or resolving it.

Sahajilo works in tools like Xero, MYOB, Careview, HCP, ShiftCare, AlayaCare and the my NDIS provider portal. The service is delivered remotely inside your existing software. During scoping, agree which tasks are included, what information is needed and where exceptions should go. For teams across NSW, make roster changes and regional service records part of that discussion.

You can book a free 30-minute scoping call to work through those priorities. Most providers are onboarded within 5 to 7 business days. Arrangements are month-to-month, with no lock-in contracts. Bring the unresolved work and current process to the discussion so the proposed scope reflects what your organisation needs handled.
