IT Support for NDIS Providers in Sydney

Across Greater Sydney, a forgotten password or missing account can disrupt a shift well away from the manager who can fix it. Sahajilo provides remote IT support for NDIS provider organisations, working inside your existing software. From the Northern Beaches to Campbelltown, we help with staff access, devices, security and connected systems so your team can get on with its work.

IT that fits a team spread across Greater Sydney

Sydney is classed MMM 1, a metropolitan area, under the Modified Monash Model. That metropolitan classification does not make travel between service locations simple. With long journeys across Greater Sydney and a tight labour market, getting a new worker ready should not depend on finding time to visit an administration office.

Remote IT support gives managers and support workers a way to get help with accounts, sign-in problems and device setup wherever their work takes them. The starting point is your existing environment: which systems people use, what access their roles need and where everyday tasks get stuck.

We work remotely inside your software and have no local offices. Our IT support service covers systems and security alongside people and devices. For a Sydney organisation with dispersed staff, those parts need to work together: an account is only useful if the worker can securely access it on the device they use.

Give each worker the access their role needs

Shared logins make it harder to manage access when staff change roles or leave. Missing multi-factor sign-in adds another gap around email and participant records. Start with individual accounts, appropriate permissions and a clear process for approving access, rather than leaving each manager to work out a separate approach.

Support includes Microsoft 365 and Google Workspace setup and management, multi-factor sign-in and secure access to participant information. Laptop and phone setup should sit alongside account creation, so a new starter has the equipment and permissions needed for their work. Off-boarding needs the same attention, with access removed on the last day.

For example, a provider running two SIL houses in Western Sydney could prepare each new worker's device and individual care-system account before their first shift, then arrange help if sign-in fails. This hypothetical situation shows why IT tasks belong in the same handover as HR and rostering administration. Agree who tells IT about starters, role changes and departures, and who confirms the changes are complete.

Keep NSW screening records separate from account permissions

In New South Wales, the Office of the Children's Guardian issues the NDIS Worker Check, with applications made through Service NSW. It also runs the NSW Working With Children Check, but these are separate clearances. Your staff records and onboarding process should keep that distinction clear rather than treating a single uploaded document as covering both.

From an IT perspective, the practical questions are about where screening records are stored, who can view them and how authorised managers retrieve them. Creating a software account does not establish that a worker has the required clearance. Keep the decision about work eligibility with the people responsible for it, and use that decision to guide access setup.

Our NSW worker screening guide explains the screening topic separately. IT support focuses on privacy-conscious handling of the information and access to the systems holding it. Where record organisation also needs attention, connect that work with compliance and audit support in Sydney so permissions and document handling follow the same agreed process.

Check what connects, what is backed up and what can be recovered

Care software, rostering and accounts can create extra administration when information does not move between them as expected. Before changing a system, identify the exact handover that causes trouble. Is an approved shift missing from the next workflow? Is a manager re-entering information because an integration has not been configured? A specific problem gives the setup work a clear purpose.

Rostering and care software setup and integration are part of the service. Sahajilo works in tools like Xero, MYOB, Careview, HCP, ShiftCare, AlayaCare and the my NDIS provider portal. The available connections depend on your software and configuration; working in these tools does not mean every combination connects automatically.

Backups and recovery need equally clear attention. Identify your key systems, understand what is backed up and check how information would be recovered. An untested backup leaves an unanswered operational question. Where system handovers affect invoicing, bring Sydney billing and claims administration into the discussion so the technical setup reflects the information finance staff actually need.

Scope support around your locations and working day

A provider covering Sydney and neighbouring areas needs to describe its full working footprint. Include teams operating around Parramatta, Penrith and the Blue Mountains, or extending towards the Central Coast and Wollongong. The useful IT questions concern the devices people carry, the systems they need away from an office and who can authorise an access change.

Also identify when managers and workers need help, using Sydney's AEST/AEDT time zone when discussing support arrangements. Make the process clear: where staff raise a problem, what information they provide and which internal contact makes decisions about permissions. This gives the scope a practical basis without assuming every issue has the same urgency.

Bring your software list, current access problems and starter and leaver process to a free 30-minute scoping call. Sahajilo can use that discussion to scope remote support within your existing systems. Services are month-to-month, with no lock-in contracts, so the initial conversation can focus on the work your organisation needs handled.
