Build a Brisbane roster that carries through to payroll

Greater Brisbane is a capital city service area, with supports stretching north towards Moreton Bay, south to Logan and west to Ipswich. Brisbane is classed MMM 1 under the Modified Monash Model. For rostering, the practical task is connecting participant needs with worker availability across that metropolitan footprint.

A roster needs to account for where work happens, as well as when it starts. When managers change an assignment, the updated location and hours need to remain visible through timesheet review and payroll preparation. Otherwise, the payroll team is left asking which version reflects the work actually delivered.

Our SCHADS payroll, HR and rostering service covers roster preparation, timesheet checks, award interpretation and employment administration. Start with participant requirements and available workers, then carry approved changes through the records used for pay. For organisations also scheduling work further west, rostering support in Ipswich addresses the neighbouring service area. Keep the work location clear even when the same manager coordinates both areas.

Check the shift details before each pay run

Inconsistent penalties and allowances can begin with incomplete shift information. A changed finish time, a sleepover or a gap between shifts needs to be visible before payroll is prepared. Checking timesheets against the roster before every pay run gives managers a clear point to resolve those differences.

Sahajilo supports SCHADS Award interpretation for penalty rates, overtime, broken shifts and sleepovers, alongside Single Touch Payroll lodgement and leave balances. The work connects roster information with payroll records inside your existing systems. Managers can focus their review on the entries that need clarification.

  • Compare submitted timesheets with rostered hours and approved changes.
  • Identify shift details that affect penalties, overtime or sleepover treatment.
  • Resolve missing information before completing payroll preparation.
  • Keep leave balances and payroll records current.

Where timesheets also feed billing, discrepancies deserve attention across both processes. Our Brisbane NDIS billing and claims support can help connect that administrative work. A corrected timesheet should be available to the people preparing claims as well as those preparing wages.

Keep Brisbane, Logan and regional holiday dates distinct

A Greater Brisbane roster can cover work in neighbouring council areas with different show holidays. The supplied Queensland calendar lists Brisbane's Ekka Show Day on 12 August 2026 and Logan's Royal Queensland Show holiday on 10 August 2026. Gold Coast Show falls on 28 August 2026, while Ipswich Annual Show is on 14 May 2027.

Keep the work location attached to each shift so the relevant holiday can be checked during payroll preparation. A single holiday entry labelled Greater Brisbane does not capture those separate dates. Providers extending towards the Sunshine Coast also need to distinguish the relevant regional show holiday area.

Queensland's calendar includes King's Birthday on 5 October 2026, Labour Day on 3 May 2027 and a Christmas Eve part-day holiday from 6pm to midnight on 24 December 2026. For that evening, retain actual start and finish times so the holiday portion can be identified.

Use the Queensland public holiday guide for SCHADS payroll when preparing rosters and reviewing holiday entries. These checks belong before payroll completion, alongside employment type and shift details.

Keep screening and employment records alongside the roster

Worker availability is only part of roster preparation. Onboarding documents, contracts, induction records and training expiry dates also need attention. When those details sit in separate spreadsheets, managers have another set of records to reconcile whenever a worker joins the organisation or an existing record changes.

Queensland's former disability yellow card was replaced by the national NDIS worker screening check on 1 February 2021. Workers can apply for the NDIS check and a blue card together. A cleared NDIS Worker Screening Check lasts 5 years and is recognised by NDIS providers in every state and territory.

Our HR administration includes onboarding packs, contracts, induction records, worker screening and training expiry tracking. Keep the status and supporting record accessible to the people responsible for follow-up, with outstanding items visible before they become last-minute roster questions.

The Queensland worker screening guide provides local context for that process. Clear employment and training records also support audit preparation and responses to Fair Work enquiries, giving managers a usable record of what has been completed and what still needs attention.

Set up remote support around your existing systems

Sahajilo is an outsourced back office for NDIS providers. We work remotely inside your organisation's software; your organisation delivers the participant supports. Supported tools include Xero, MYOB, Careview, HCP, ShiftCare, AlayaCare and the my NDIS provider portal.

For a Brisbane provider, a useful starting point is the connection between the roster, timesheets and payroll. Identify where managers currently repeat entries, chase shift changes or check employment records manually. Then agree which administrative tasks need support and which decisions need to come back to your managers.

Bring your pay cycle, software details, roster coverage and recurring payroll questions to the scoping conversation. Include any work extending into Logan, Ipswich, the Gold Coast or the Sunshine Coast, so regional holiday handling is considered from the outset. Queensland operates on AEST without daylight saving.

Most providers are onboarded within 5 to 7 business days, with month-to-month arrangements and no lock-in contracts. Book a free 30-minute scoping call to discuss payroll preparation, roster administration and the HR records your team needs help keeping current.
