Queensland providers need back-office routines that account for coastal service areas, inland travel and regional rosters. Sahajilo handles NDIS billing and claims, SCHADS payroll, HR, rostering, compliance administration and IT support remotely inside your existing software. We support the organisation behind the care; we do not deliver disability supports. Your managers get practical help with the records, checks and follow-up that keep operations moving.

From metropolitan rosters to regional service areas

A Queensland back office needs to reflect where supports happen. Brisbane, Gold Coast, Sunshine Coast, Ipswich and Logan are classed MMM 1 under the Modified Monash Model. Toowoomba, Townsville, Cairns, Mackay and Rockhampton are classed MMM 2, regional centres. Those distinctions matter when checking service locations, but a regional address alone does not establish eligibility for remote pricing.

Keep the location of each support visible alongside the participant, worker, service date and billing record. Across a long coastline and into inland Queensland, travel records need enough detail for the billing team to assess what can be claimed. A roster entry showing only a participant's name leaves questions for someone else to resolve.

Our Brisbane back-office support and Cairns back-office support use the same remote delivery approach. The work happens inside your systems, with the scope based on your service areas and administrative workload. Queensland stays on AEST without daylight saving, so make the time zone explicit when arranging interstate payroll cut-offs or management approvals.

Billing checks that follow the support location

Travel claiming and remote pricing deserve separate checks. Under the supplied 2026–27 pricing arrangements, in force from 24 September 2026, remote locations classed MMM 6 have price limits 40% above national limits; very remote locations classed MMM 7 have limits 50% above. Do not apply those increases simply because a service operates beyond Brisbane or involves a long drive. Check the support location and applicable pricing before preparing the claim.

Sahajilo's billing work includes batch-checking NDIA-managed claims through the my NDIS provider portal and preparing invoices for plan managers and self-managed participants. Each line needs the correct support item and price limit. Cancellations, no-shows and non-face-to-face work also need review before billing.

Reconciliation completes the cycle: match payments to claims and invoices, resolve rejected claims, follow up overdue accounts and prepare a monthly billing summary. Keep unresolved items visible rather than carrying unexplained differences into the next month. The Brisbane billing and claims service sets out this work for providers managing metropolitan operations.

Build Queensland's local holidays into payroll

A statewide roster needs more than a statewide holiday calendar. Brisbane's Ekka Show Day falls on 12 August 2026, while Logan's Royal Queensland Show holiday is 10 August 2026. The Gold Coast Show holiday is 28 August 2026. Record the relevant work location and check the holiday's geographic coverage before applying payroll settings.

The distinctions continue outside metropolitan areas. The Toowoomba Royal Agricultural Show holiday on 16 April 2027 excludes Yarraman, Upper Yarraman and Cooyar. On the Sunshine Coast, the Maleny and Sunshine Coast agricultural show holidays cover different former council areas. Christmas Eve, 24 December 2026, is a part-day public holiday from 6pm to midnight, making shift start and finish times particularly important.

Use the Queensland public holiday guide for SCHADS payroll alongside roster-to-timesheet checks. Payroll support covers penalty rates, overtime, broken shifts, sleepovers, leave balances and Single Touch Payroll lodgement. Rostering and HR administration also cover worker availability, participant needs, onboarding packs and contracts. Flag discrepancies for review before the pay run rather than leaving managers to reconstruct shifts afterwards.

Keep screening and audit evidence connected

Queensland's old disability yellow card was replaced by the national NDIS worker screening check on 1 February 2021. Disability Worker Screening at the Queensland Department of Justice issues the check, and workers can apply for the NDIS check and a blue card together. Use the Queensland worker screening guide when reviewing onboarding records or updating older internal instructions.

A cleared NDIS Worker Screening Check lasts 5 years and is recognised by NDIS providers in every state and territory. Keep clearance details and expiry tracking connected to the worker's HR record. Training and induction evidence should also be easy to locate when managers review roster readiness or auditors request records.

Compliance support covers gap analysis against the NDIS Practice Standards, evidence packs for certification and verification audits, registration renewal and change-of-scope support. Everyday work includes keeping incident, complaints and risk registers current, reviewing policies and tracking reportable incident timelines. For an organisation operating across North Queensland or the Darling Downs, consistent records help managers see outstanding actions without searching through separate regional folders.

Give workers usable systems and controlled access

Remote administration depends on staff being able to use the systems that hold rosters, timesheets and participant records. A worker travelling between services needs an account that works; a manager reviewing payroll needs access to the right records. Shared logins and missing access create extra work when someone needs to establish who entered or changed information.

IT support covers Microsoft 365 and Google Workspace setup and management, multi-factor sign-in, secure access to participant records, and backups and recovery for key systems. It also includes laptop and phone setup, help desk support, and rostering and care software setup and integration.

Connect access changes to HR administration. New starter records should inform account and device setup, while off-boarding should remove access on the worker's last day. For providers spread between places such as Mackay, Rockhampton and surrounding service areas, a consistent process gives managers a clear way to request help. Keep participant information handling and access requirements part of that process, alongside the practical steps staff need to complete their work.

Agree on the work your managers need covered

Start with the administrative work that is waiting: rejected claims, unreconciled payments, payroll exceptions, screening records or audit actions. Identify where those records sit, who currently reviews them and which decisions need your manager's approval. That makes the scope concrete and gives everyone a shared understanding of the handover.

Sahajilo works remotely inside your existing software, including tools like Xero, MYOB, Careview, HCP, ShiftCare, AlayaCare and the my NDIS provider portal. There is no local office to visit. The useful preparation is access to the agreed systems, a clear contact within your organisation and an explanation of your current billing, payroll or compliance routine.

Most providers are onboarded within 5 to 7 business days. The arrangement is month-to-month, with no lock-in contracts. Book a free 30-minute scoping call to discuss the work you want covered. Bring the unresolved tasks and the Queensland locations you serve so the discussion can address local holiday coverage, travel records and responsibilities across your team.
