NDIS Compliance & Audit Support in Geelong

Geelong’s history as part of the Barwon NDIS trial makes it a familiar place for providers, but established operations still need current evidence. Sahajilo supports NDIS provider organisations with compliance records, audit preparation and registration work, remotely inside their existing software. We help turn scattered documents, overdue reviews and open findings into a clear worklist with evidence attached.

Compliance work for an established Barwon provider

Geelong is home to the NDIA’s national headquarters and was part of the 2013 Barwon trial site. That history gives local providers a longstanding connection to the scheme. It also makes a practical distinction useful: having policies from an earlier registration is different from having evidence that reflects how your organisation operates now.

Geelong is a regional centre, but it is classed MMM 1 under the Modified Monash Model. Regional identity and remoteness classification are different things. For compliance preparation, describe your actual service locations, activities and responsibilities clearly rather than relying on a broad regional label.

Start with what has changed since your last review: service scope, worker responsibilities, document locations or the way incidents reach management. Those changes provide a useful starting point for checking whether policies and records still match practice.

Our NDIS compliance and audit support covers gap analysis, evidence preparation and everyday register maintenance. Sahajilo provides an outsourced back office for providers; it does not deliver disability supports.

Build the evidence pack around the gaps

When an audit approaches, collecting every document into a folder can create more work without showing what is missing. A gap analysis against the NDIS Practice Standards gives the preparation a clearer order. Review the evidence already available, identify gaps and assign the next action to someone who can complete it.

For a Geelong organisation, the evidence pack should reflect the services actually delivered across its operating area. Where your organisation also operates in Greater Melbourne or Ballarat in the Central Highlands, make it clear which records apply across the organisation and which relate to a particular service or location.

  • Prepare evidence packs for certification and verification audits.
  • Review policies and procedures against current practice.
  • Support registration renewal and changes of scope.
  • Develop corrective action plans for findings that remain open.

Keep each finding connected to an owner, an action and evidence of completion. Providers extending their operations can also review our Melbourne compliance support and Ballarat compliance support when planning a consistent approach across locations.

Keep Victorian worker records connected

Worker records need to connect with the duties people perform. A screening record in one folder and a training spreadsheet elsewhere can make it difficult to establish whether the information lines up. Review these records together, with clear responsibility for following up missing information and keeping the current version accessible.

In Victoria, the NDIS Worker Screening Check is issued by the Victorian NDIS Worker Screening Unit at the Department of Government Services, with applications through Service Victoria. A cleared check lasts 5 years and is recognised by NDIS providers in every state and territory. Our Victorian worker screening guide provides related information.

Victoria also has the Victorian Disability Worker Commission, which runs voluntary registration and a Code of Conduct for all disability workers in the state. Keep these distinct from NDIS screening records so your documentation does not blur their purposes.

For Geelong providers, linking compliance reviews with HR and rostering support helps bring worker screening and training records into the same operational conversation. Identify discrepancies and assign follow-up before treating the record review as complete.

Make registers part of the working week

Incident, complaints and risk registers are more useful when they show what happened next. An entry should support follow-up: who is handling it, what action is outstanding and where the supporting record sits. A register that is updated only before an audit leaves managers with extra reconstruction work.

For example, a provider running two SIL houses in Geelong might receive incident information through separate operational channels. A shared review process could bring those records into a consistent register while retaining the supporting documents for each house. This hypothetical arrangement would make outstanding actions easier to identify.

Support includes keeping registers current, tracking reportable incident timelines and reviewing restrictive practice records. Where regulated restrictive practices are relevant, Victoria has a specific layer: the Victorian Senior Practitioner approves providers’ Authorised Program Officers, who authorise those practices.

Plan who monitors deadlines and follows up actions when the usual manager is unavailable, including around Melbourne Cup Day. Agree the internal escalation route and review it alongside the register, so an unresolved item has a clear next step.

Remote support inside your existing systems

Sahajilo works remotely inside the provider’s existing software. There is no Geelong office to visit. The starting point is understanding where your policies, worker records, registers and audit correspondence already live, then agreeing how the compliance work will be handled within that setup.

Begin with a focused worklist: the approaching audit, an overdue policy review, an open corrective action or inconsistent records. Agree which documents need attention, who can supply missing evidence and who within your organisation will review the completed work. This makes the scope concrete for directors and operations managers.

If document access or scattered folders are slowing preparation, include that issue in the discussion. Our IT support for Geelong providers can be considered alongside the compliance work, with priorities based on the problems you identify.

You can book a free 30-minute scoping call to discuss the records and deadlines needing attention. Bring your latest audit findings or a short list of known gaps so the conversation starts with the work your organisation needs done.
