Running an NDIS organisation in Victoria means keeping national requirements aligned with state worker oversight, public holidays and day-to-day service delivery. Sahajilo provides outsourced billing, payroll, HR, rostering, compliance and IT support for providers across Melbourne and regional Victoria. We work remotely inside your existing software, helping your managers keep records, payments and approvals moving.

One back office across Melbourne and regional Victoria

A Victorian provider’s administration needs to follow its services across locations. Rosters, worker records, invoices and incident documentation need to remain connected whether managers oversee metropolitan services or teams working across regional communities. A useful starting point is identifying where information stops moving: an unapproved timesheet, an unresolved claim or a worker record waiting for review.

Greater Melbourne and Geelong in Barwon are classed MMM 1 under the Modified Monash Model. Ballarat in the Central Highlands and Bendigo in Loddon Campaspe are classed MMM 2, regional centres. Shepparton in the Goulburn Valley is classed MMM 3. Those distinctions matter when checking location assumptions; being outside Melbourne does not automatically mean remote NDIS pricing applies.

Our pages for providers in Melbourne and providers in Geelong explain support in those areas. Across Victoria, remote delivery means the administrative work happens inside your organisation’s software. Your managers can review the same records used for billing, payroll and compliance without maintaining a separate set for an external office.

Keep Victorian billing connected to delivered supports

Billing needs a clear path from the support record to the claim, payment and reconciliation. NDIA-managed claims, plan-managed invoices and invoices for self-managed participants require different handling. When a rejection sits unresolved or a payment is not matched, leadership loses a clear view of what remains outstanding.

Our billing support covers batch checks through the my NDIS provider portal, support item numbers, applicable price limits and invoice preparation. Cancellation, no-show and non-face-to-face billing are checked for correct application. Payments are matched to claims and invoices each cycle, with rejected claims corrected and resubmitted, overdue invoices followed up and a monthly billing summary prepared.

For services extending through regional Victoria, check the delivery location before applying a pricing category. Shepparton’s MMM 3 classification, for instance, is distinct from the remote MMM 6 and very remote MMM 7 categories. Providers coordinating services in the Goulburn Valley can explore our Shepparton back-office support. Location, support details and billing treatment should be checked together before a claim is submitted.

Build Victorian holidays into payroll and rostering

Victoria’s holiday calendar belongs in roster planning as well as payroll preparation. Melbourne Cup Day falls on Tuesday 3 November 2026, while Labour Day falls on Monday 8 March 2027. Check the applicable holiday against the roster and actual timesheet before approving the pay run, particularly where shifts change after the roster is published.

Our Victorian public holiday guide for SCHADS payroll provides a reference for this work. Payroll support includes SCHADS penalty rates, overtime, broken shifts and sleepovers, alongside timesheet-to-roster checks, Single Touch Payroll lodgement and leave balances. Exceptions need to reach the person approving payroll while there is still time to resolve them.

Rostering support connects participant needs with worker availability, while HR administration covers onboarding packs, contracts and induction records. For example, a provider running two houses in Ballarat could review changed shifts and missing timesheets together before payroll approval. That review would also identify records needing attention before related billing is prepared. It gives managers a practical point to resolve discrepancies across both processes.

Keep screening and Victorian oversight records together

Victoria’s NDIS Worker Screening Check is issued by the Victorian NDIS Worker Screening Unit at the Department of Government Services, with applications through Service Victoria. A cleared check lasts 5 years and is recognised by NDIS providers in every state and territory. Track the clearance and its expiry alongside the worker’s induction and training records.

The Victorian worker screening guide explains the state process. Victoria also has the Victorian Disability Worker Commission, which runs voluntary registration and a Code of Conduct for all disability workers in the state. These records should be clearly distinguished so managers can see which requirement each document addresses.

Compliance support brings screening, training, incident, complaints and risk records into an organised review process. It also covers policy reviews, gap analysis against the NDIS Practice Standards, audit evidence packs and corrective actions. Where regulated restrictive practices are relevant, Victorian Senior Practitioner approval of providers’ Authorised Program Officers is another state-specific layer to account for in the evidence. Those officers authorise regulated restrictive practices.

Give staff access that matches their work

A provider coordinating services between Melbourne and regional centres needs staff to reach the systems used for their work. Shared logins, delayed account setup and access left open after someone leaves create administrative problems that belong in the same workflow as onboarding and off-boarding. Participant information also needs privacy-conscious handling throughout that process.

Our IT support for Melbourne NDIS providers covers the service in the capital, with remote delivery also supporting Victorian organisations beyond Melbourne. The work includes Microsoft 365 and Google Workspace setup and management, multi-factor sign-in, secure access to participant records, backups and recovery, and help desk support for managers and support workers.

Laptop and phone setup can be coordinated with new starter administration, while off-boarding includes removing access on the last day. Rostering and care software setup and integration also sit within this service. For an operations manager, the practical task is to connect the employment change with the systems change, so an approved start or departure prompts the corresponding access work.

Start with the work holding your managers up

You can begin with the part of the back office that needs attention: unreconciled billing, inconsistent payroll checks, scattered audit evidence or staff access problems. Scope the work around the records involved, the outstanding items and the decisions your managers need to approve. This gives both sides a clear starting point for the handover.

Sahajilo works in tools such as Xero, MYOB, Careview, HCP, ShiftCare, AlayaCare and the my NDIS provider portal. Working inside your existing software keeps the task connected to the records your organisation already uses. During scoping, identify the relevant systems, who approves work and how unresolved questions will reach that person.

Most providers are onboarded within 5 to 7 business days, and arrangements are month-to-month with no lock-in contracts. Book a free 30-minute scoping call to discuss your Victorian operations and the work you want covered. Bring the recurring problem, the systems involved and any upcoming payroll or audit deadlines so the discussion stays specific.
