Running an NDIS provider in the Northern Territory means keeping billing, payroll and compliance connected across regional centres and remote communities. Sahajilo provides an outsourced back office for provider organisations, working remotely inside your existing software. We handle the administration behind service delivery, from claims and rostering to audit records and IT support.

Back-office work that reflects the Territory

The Northern Territory has the highest share of remote and very remote communities in Australia. Remote price limits, travel and thin workforces shape provider operations. Your back office needs to keep the service location, roster, timesheet and billing record connected, so managers can resolve discrepancies without repeatedly chasing the same information.

Darwin, in the Top End, is classed MMM 2, a regional centre, under the Modified Monash Model. Alice Springs, in Central Australia, is classed MMM 6, a remote location. Those classifications matter when checking applicable pricing; a single Territory-wide assumption is not a useful basis for billing checks.

Our pages for back-office support in Darwin and back-office support in Alice Springs explain the services available to providers operating from those centres. Delivery is remote, inside your organisation's software, with no local office. The practical starting point is your workflow: who records completed supports, who approves payroll, and who follows up missing evidence before it delays a claim or pay run.

Keep remote pricing and claim reconciliation together

Territory billing needs a clear link between the support delivered and the price limit used. Under the 2026–27 pricing in force from 24 September 2026, remote locations classed MMM 6 have price limits 40% above national limits, while very remote locations classed MMM 7 have limits 50% above. Check the applicable location and support item before preparing the claim.

Our billing work covers batch-checked NDIA-managed claims through the my NDIS provider portal, plus invoices for plan managers and self-managed participants. Each line needs the correct support item and price limit. Cancellations, no-shows and non-face-to-face time also need deliberate checks before billing.

For example, a provider coordinating supports in Darwin and Alice Springs could check each service location before applying a price limit, then reconcile the resulting payments through the same finance workflow.

Payments are matched to claims and invoices each cycle, with rejected claims corrected and resubmitted, overdue invoices followed up, and a monthly billing summary for leadership. Read more about NDIS billing and claims support in Darwin.

Build regional holidays into payroll checks

A Territory roster needs more than a single public holiday flag. Show-day holidays apply to their respective regions, including Alice Springs, Tennant Creek, Katherine, Darwin and Borroloola. Record where the work occurred so the payroll check can consider the relevant regional holiday alongside the actual hours worked.

The calendar also includes Picnic Day on 3 August 2026, May Day on 3 May 2027 and the King's Birthday on 14 June 2027. Christmas Eve and New Year's Eve have part-day public holidays from 7pm to midnight. These require attention to shift times, particularly when a shift crosses into the holiday period.

SCHADS public holiday rates are 250% of the ordinary rate for full-time and part-time employees and 275% for casuals. Use the NT public holiday guide for SCHADS payroll alongside roster and timesheet checks.

Payroll support also covers overtime, broken shifts, sleepovers, leave balances and Single Touch Payroll lodgement. Rostering and HR administration connect worker availability, participant needs, onboarding packs and induction records, helping managers identify missing information before approving the pay run.

Keep screening and compliance evidence usable

The NT's NDIS Worker Screening Check is issued by SAFE NT, run by NT Police, Fire and Emergency Services. No card is issued for the NDIS clearance. Your onboarding process therefore needs a clear clearance record, rather than an unfinished task waiting for a physical card to arrive.

A cleared NDIS Worker Screening Check lasts 5 years and is recognised by NDIS providers in every state and territory. The NT Ochre Card is a different check for working with children; it is NT-only and lasts 2 years. Keep these records distinct. Our Northern Territory worker screening guide provides further context for your administration.

Compliance support brings screening, training, incident, complaints and risk records together with policy reviews and audit evidence. It also covers gap analysis, registration renewal, change-of-scope support and corrective action plans.

Territory responsibilities need clear records too. The NT Senior Practitioner authorises restrictive practices for registered NDIS providers in the Territory. The Health and Community Services Complaints Commission is the NT's independent complaints body for health, disability and aged care services. Keep authorisation and complaints records accessible within your compliance workflow.

Make system access part of staff administration

When your organisation coordinates work across the Top End and Central Australia, account access belongs in the onboarding and off-boarding process. A worker's roster, induction records and software access should be considered together. Shared logins, delayed account setup and access left open after departure create extra work for managers handling participant information.

IT support covers Microsoft 365 and Google Workspace setup and management, multi-factor sign-in, secure access to participant records, and backups and recovery for key systems. Laptop and phone setup, help desk support, and care and rostering software setup and integration are also part of the service.

For new starters, connect the account setup request with their onboarding tasks. For leavers, include removal of access on the last day. These routine handovers deserve the same attention as payroll and screening records.

Sahajilo works in tools like Xero, MYOB, Careview, HCP, ShiftCare, AlayaCare and the my NDIS provider portal. The starting point is the software your organisation already uses and the administrative gaps between those systems.

Start with the work holding your managers back

You may need help with rejected claims waiting for rework, payroll checks taking over managers' evenings, or audit evidence scattered across folders. Start by identifying the unfinished work and its dependencies. A billing backlog may need completed service records; a payroll query may need a corrected timesheet; an audit pack may need current training evidence.

The Northern Territory uses ACST without daylight saving. Use that time zone when agreeing payroll approvals, billing handovers and meetings, especially if other people involved in your administration work interstate. Clear handover times help everyone understand when information is needed and who should resolve outstanding questions.

A free 30-minute scoping call can focus on your software, current workload and approval process. Most providers are onboarded within 5 to 7 business days. Services are month-to-month, with no lock-in contracts.

Book a free scoping call to discuss the back-office work you want covered. Bring the tasks that are repeatedly delayed and the systems involved, so the conversation starts with your organisation's practical needs.
